The Senior Executive Assistant will fulfill a key support role at Trinity. We are seeking a highly motivated and energetic individual to provide critical administrative and project support to Trinity’s C-suite. The administrative responsibilities will include, but are not limited to, travel arrangements, expense reports, greeting office visitors, managing calendars, executive meeting scheduling and logistics, and client visits.Intellectual curiosity and a desire to grow business acumen is essential. The ideal candidate must have a keen sense of time management, logistics planning, organization, and attention to detail – with an ability to gather and summarize data, make decisions, and find answers. This role is collaborative and requires a lot of coordination with internal and external contributors.

Essential Functions & Responsibilities

  • Proactively manage calendars with the ability to schedule and prioritize meetings, resolve schedule conflicts, collaborate with other team members, and stay several steps ahead to maintain efficiency.
  • Schedule and coordinate numerous weekly and ad hoc meetings, ensuring that all details are managed and communicated effectively with all parties.
  • Handle all aspects of travel arrangements, both international and domestic, with frequent revisions as needed.
  • Manage business expenses for executives, ensuring timely and accurate processing after each trip.
  • Ability to perform well in a high-paced environment; performs additional duties as assigned by assigned business Senior Leaders.
  • Organize large workshops, meetings, or events from conception to execution in collaboration with other internal groups or business units, and in collaboration with the executive staff of other Senior Leaders
  • Partner with internal stakeholders on large-scale meetings and initiatives by supporting scheduling, communications and on-site support.
  • Provide strategic and proactive support to assigned business Senior Leaders:
    • Prepare presentations, agendas, reports, special internal projects and other documents aligned with business needs.
    • Proactively propose agendas for recurring meetings led by the Senior Leaders and own ensuring appropriate follow up occurs.
  • Project support for business development initiatives, client activities, and internal initiatives.
  • Participating in internal team meetings or events as an embedded member of each Leader’s team.

  • Comfort interacting professionally and with ease, with varying levels of business professionals both within and outside the organization, as a positive representative of the leadership team.
  • Uses an inclusive approach to collaboration and strives to reduce unconscious bias.
  • Proven advanced expertise in Microsoft Office applications including Word, PowerPoint, Excel and Outlook.
  • Internet savvy; systems- and automation-oriented.
  • Exceptional communication skills, written and verbal.
  • Ability to successfully multi-task on complex projects and assignments.
  • Ability to assume ownership of internal initiatives and projects.
  • Ability to effectively support a small team of high-level executives.
  • Analytical with an intellectual curiosity.
  • Initiative and willingness to assume additional responsibilities as needed beyond the scope of job duties.

Qualifications

Education: Bachelor’s degree
Work Experience: 6+ years of experience supporting high-level executives
